- Account & Billing Information: Name, business name, ABN/tax ID, email address, physical address, and payment processing details.
- Project Data (Intake Forms): Specific business workflows, chemical keys, equipment lists, and proprietary cleaning standards.
- Media Assets (Video & Photo): Raw video footage, photographs, and audio recordings submitted for editing. This data may contain the likenesses of your employees, contractors, or third parties, as well as views of private or commercial properties.
- Communication Data: Records of correspondence, feedback, and technical support requests.
3. DATA HANDLING & VIDEO SECURITY
Given the sensitive nature of video footage, CleanSystem Training employs specific security measures:
- Storage: All media assets are stored via secure, encrypted third-party cloud services (e.g., Dropbox).
- Access Control: Access to raw footage is strictly limited to CleanSystem Training personnel and contractors who are bound by enforceable Non-Disclosure Agreements (NDAs).
- Processing: We do not use client footage for any purpose other than the fulfillment of the contracted service, except for limited marketing purposes as defined in our Legal Agreement.
4. CLIENT RESPONSIBILITY: MODEL & PROPERTY RELEASES
4.1 Personnel Consent: The Client warrants that they have obtained all necessary written consents, "Model Releases," and privacy waivers from any employees, contractors, or individuals appearing in the submitted footage. CleanSystem Training accepts no liability for claims regarding the unauthorized use of an individual’s likeness within the footage provided by the Client.
4.2 Property Consent: The Client warrants that they have the legal right to film and record at the locations shown in the footage and that such recording does not violate the privacy rights of any third-party property owners or residents.
5. USE OF DATA & SUB-PROCESSORS
We use your information to:
- Deliver, edit, and finalize training modules.
- Communicate project updates and provide customer support.
- Comply with legal obligations.
Sub-Processors: We share data with trusted third-party service providers to facilitate our services, including:
- Cloud storage providers (e.g., Dropbox).
- Voiceover professionals or automated voiceover platforms.
- Payment processors (e.g., Stripe, PayPal).
- Project management and communication tools.
6. INTERNATIONAL DATA TRANSFERS
CleanSystem Training is based in Australia but operates globally. You acknowledge that your information, including video footage, may be transferred to, and maintained on, servers located outside of your state, province, or country. We take all reasonable steps to ensure that your data is treated securely and in accordance with this Privacy Policy and applicable data protection laws.
7. DATA RETENTION & DELETION
- Project Files: We retain raw footage and project files for a period of thirty (30) days following the final delivery and approval of the project to allow for minor revisions.
- Deletion: After this period, raw footage may be permanently deleted from our primary storage. It is the Client’s sole responsibility to maintain their own backups of all raw and final materials.
- Marketing Clips: Anonymized clips used for marketing purposes (as per the Legal Agreement) may be retained indefinitely unless a formal request for removal is submitted and approved.
8. YOUR RIGHTS
Under various international privacy laws, you may have the right to:
- Access the personal information we hold about you.
- Request the correction of inaccurate data.
- Request the deletion of your personal data (subject to our legal or contractual obligations).
- Withdraw consent for marketing uses of your data.
